How to edit the automated emails sent to your candidates

You can now view and edit the automated emails sent to your candidates from within your portal.

There are two emails which are sent to candidates depending on the settings of the job applied for:

  • Unfortunately, your application cannot be processed - this is sent if the role has auto-rejection for overseas candidates turned on and the candidate answers no to having permission to live and work in the country (click HERE to find out more)

  • Candidate expresses interest - this is sent to all candidates who are not auto-rejected

Personalising these emails welcomes and instils confidence in candidates choosing your company, and strengthens your connection with them, allowing you to showcase your organisation's strengths.

Step-by-Step guide:

❗FYI - Only portal users with manage account settings permissions can edit a template

  1. Click Settings at the bottom left then Templates:

  2. Click the Three-dot icon then Edit:

  3. From here, you can update the sender, subject and message for each template.

  4. To update the sender, type the name of the user and select from the drop-down menu:

  5. Click the Subject field to edit:

  6. Click the Message field and edit as desired. In this field, you can select bold, bullet points and emojis:

    To add a hyperlink, click the link icon at the top of the message field:

7. To edit the autofill options, simply click on 'Insert Custom Field' and select the desired option.

When the email sends, the correct values will be dispalyed depending on the candidate and the job applied for. Custom fields include: Candidate first name, sender full name, job title and organisation name:

8. Click Save:

And that's it! you have now edited your automated email templates.

Top Tips!

✅Ways this could be useful- Candidates who are suitable to progress:

  • Hyperlinks: Link to the company website, book interviews online or upload any ID needed for the recruitment process.

  • To advise regarding the next steps: time frames and what to expect at the interview.

  • Job-specific application information: As the template is set for all jobs -can include different job roles and necessary information for each.

  • Additional information regarding the company, a testimonial or even to personalise the email to allow candidates to experience a more 'friendly' approach to your organisation. This will ensure your email sticks out from other potentially generic replies the candidate may have received previously.

Candidates that are unsuitable for the applied role:

  • If the candidate is a good fit for a different position, make sure to keep them in the pool of potential candidates and don't let them slip away!

  • Instead of simply informing them that they are not suitable, kindly explain the reasons why or provide links to any relevant job openings at your organisation that may be a better match for them. ~Eg: they need sponsorship, postcode radius more suitable, non-driver etc.
